General Information
You use Document Import to import files into Compello Process manually by browsing and drag & drop of PDF/TIFF files from any folder.
Document import is als where you will see all invoices that have been imported via our built-in Mail Import. Invoices imported via PDF import can be seen here depending on the import setup.
Good to know: The files that you import into Document Import must be in PDF or TIFF format. For best results in the SmartScan interpreter, they should be black and white with a resolution of about 300 dpi. Ideal size per page is between 50Kb and 150Kb. These are settings you choose when scanning yourself.
Once the files are imported, you can use Document Import to manage and change these files. For example, when you need to:
- change the order of the pages
- change the Client, Document Type, Archive Number Series or Default Document Status
- Split several invoices that were uploaded as one file.
- Merge separate pages into one document.
- add comments
Good to know: XML files can be imported automatically via Compello IA Services. Contact Support for further information and assistance.
Sidebar Menu
On the left side of Document Import you will see a sidebar menu. Below, you will find a detailed description and purpose of each button there.

Document Import View
This is the main page of Document Import where you can see a list of all the uploaded files. You can also rotate columns, mark invoices to be approved automatically, decide whether to send invoices to the SmartScan interpreter, add comments and handle jobs with several files at once using Multi-edit.
Clients
You can select which clients and their files will be visible in the Docu- ment Import View.
Steps:
- Click in the field "All Clients".
- Select which Client or Clients you want to see in the Document Import View.
- Optional Step: Set as Default client.
- Invoices selected Client/ Clients will be visible every time you open Document Import.
- Click Apply Filter.
Invoices for the selected Client/ Clients will be visible in Document Import only for that one session.
Options: Edit, Split, Delete
You can Edit, Split and Delete any file in the Document Import. Follow the instruction below:
Steps:
- Open Document Import.
- Click the button .

Choose:
- Edit to make changes in the fields such as Client, Archive number series , Document type.
- Delete to erase remove the file from the system (if it has not yet been sent to the workflow)
- Split to divide a file consisting of several pages into separate one-page documents.
Edit
You can change these elements of the file:
Steps:
- Click Edit..
- Choose a Client.
- Choose a Doc. Type.
- Choose an Archive Number Series.
- Choose a Document Status.
- Optional Step: write a Comment. The comment icon will change from white to blue.
- Click Save.
Split
Files consisting of more than one page can be split in the separate files.
Multi-edit
Press CTRL and select the files on the list that you want to edit. There are 4 options:
- Merge selected files into one document.
- Split selected multi-paged files into single-paged documents.
- Edit selected files (see the instruction above).
- Delete selected files.
Document Upload
In this Module you can upload files via the Sidebar Menu, work with the files in the Worklist View and make detailed changes in the files directly by double-clicking it.
Document Upload: Manual
Upload files via the Sidebar Menu as follows:
Steps:
- Open Document Import and click .
- Use either drag & drop, or browse to the files you want to upload.
- Choose Client, Doc. Type and Archive Number Series for the file(s).
- Click Upload.
- Wait: the status will be updated from Not Started to Completed
Good to know:
- If you have set up a default Doc. Type and Archive Number Series per client in the Admin Module, they will be added automatically when you choose the client.
- If you turn off "choose the client before importing documents" setting in the Admin Module, you can import files without choosing a client first, but you will still have to do this before you send the invoices to the workflow.
Document Upload: Automatic via Email - Mail Import
You can set up Compello Process to import PDF documents automatically from a given email inbox to Document Import. The setup for this mail import is in Admin, and must be set up for each client.
Steps:
- Click the menu bar and open the Admin Module.
- ClickClient Setup and select the right Client.
- Choose Client Information and expand the Import section.
- Fill in the form based on the login methods: either Basic or 0Auth2:
Basic
- Click Mail import and select Basic log-in method

Enter in:
- IMAP Server
- Port
- Use SSL
- User Name, Email
- Password

Choose the following options as needed:
- Mail Folder to Import From (if it is not the main inbox)

Folder for Imported Email
- Emails with PDF attachments that were imported to Document Import will be moved to this folder.

Folder for Email to be Handled Manually
- Emails without attachments, or emails with attachments that could not be imported will be placed here for a manual check.
- Import Directly to Worklist
- Click Save.
0Auth2 (this is only for Microsoft 365 services):
- Click Mail import and select 0Auth2log-in method
- Write in: User Name, Email
- Click Grant Access

Working with Files, Pages and Images in Document Import
In this module you can work with single files or several at once.
Single Files
There are three main things you can do with single files:
- Edit information such as Client, Document Type, Archive number series etc.
- rearrange the pages of the files: Split, Delete & Comment.
- to print the file or its pages.
Single files with multiple pages
There are four main things you can do with a single multi-page file.
