The following is required to set up a new inbox for Mail Import:
- Login name for the inbox
- Password for the inbox
- Sufficient rights in EntraID (formerly AzureAD) to authorize our "Compello PROCESS" Enterprise Application
- That two-factor authentication is not required to log in as this inbox user (possibly to log in from certain IP addresses that avoid 2FA)
- That IMAP is not blocked from connecting to the inboxn

Folder creation.
Example:
- A subfolder of the inbox where Mail Import can add emails with PDF attachments that were imported
- A subfolder of the inbox where Mail Import can put emails without PDF attachments, or other email that was not imported
- Optional: A subfolder of the inbox that Mail Import can retrieve mail from, if not it is desirable to use the top level of the inbox for this
NOTE - Folders that are not located under the inbox cannot be used by Mail Import.. |
NOTE - The folder that Mail Import imports from will be "emptied" as soon as Mail Import starts. All old PDF attachments will be attempted to be imported as invoices, and all emails will be distributed accordingly to the other two folders. We recommend that you move all old emails out of the selected import folder before Mail Import setup is complete.t. |
Approval of the corporate application "Compello PROCESS" in EntraID:
There are different ways to authenticate an Enterprise Application. We only support the method where the Enterprise Application connects and needs to be authenticated..
- We do not support pre-approval/pre-registration with a shared secret etc. set up in EntraID in advance.
- If the inbox user has been assigned the role "Application Developer" or "Application Administrator", approval can be done during the process.
- In other cases, there will either be a question about submitting a request to the administrator to approve the "Compello PROCESS", or a message stating that this is not allowed with the current setup.
Then an administrator must step in to either approve the request from "Compello PROCESS", or temporarily assign the role "Application Administrator" to the inbox identity - long enough for us to be able to select the inbox folders that Mail Import will use.
Step by step setup on the Compello PROCESS websites:
Open a new browser window in "Private mode / incognito mode". This means that no existing cookies for your own inbox in the browser session will be used.
Log in to https://process.compello.com/?cci=xxx (your customer ID) as a user who has access
to the Admin module in Compello PROCESS and select "Admin".
Under "Client setup" select the company/client for which Mail Import is to be set up and check that both have a "Document type" and a "File number series" marked as "Standard".

Mail Import uses the default Document Type/Archive Number Series for invoices imported from the inbox.
Under "Customer Information" on the same company/customer, go down to "Import"
Then select Mail import
- Select the authentication type "OAuth 2". This will automatically set the values for IMAP server, Port and Usage SSL.
- Enter the correct values in the "Username, Email" (of the format "invoice@companydomain.com") and "Password" fields.
- Press the "Grant access" button. This will open a login window for domain login, where the same Username and Password must be used again.
- Depending on the setup in the domain/account, a question may arise about two-factor authentication (skip if possible) and authorization of the Enterprise Application "Compello
PROCES" for this user.
If the account itself has the necessary rights to approve the "Compello PROCESS", the "Accept" button must be pressed..
- If it is instead entered as a request, go into EntraID and Enterprise Applications in a normal browser session and search for "Compello PROCESS" (application ID "ab842323-0adc 42cd-9855-cfefefe07b39") and approve it.
- If it is instead flatly rejected, the quickest way around this is to temporarily grant the role "Application Administrator" to the inbox user, wait a few minutes, and start the process again..
Once the "Compello PROCESS" Enterprise Application has been approved, a message will appear indicating that the approval is complete and the window can be closed. You will then return to where you were on the Compello PROCESS Admin screen.
A green text should appear to the right of the "Grant Access" button, "Access granted to "invoice@companydomain.com".
- Press "Save setup".
In the three fields below the "Grant access" button, it should now be possible to select the subfolders that Mailimport will import from (leave the field blank to use the inbox folder itself),
- tadd imported email (e.g. "Archive" or "Imported to Compello") and add all other emails (e.g. "For manual follow-up") or similar.
If no folders are displayed to select here, open a new tab in the same "Private Mode" window (Ctrl+T), go to the address https://outlook.office365.com , and log in as the same inbox user.
Make sure there are at least two folders under Inbox that Mail Import can use
If a red error text appears under the "Grant access" button with the text "Could not connect to IMAP account", it may mean that the IMAP protocol is blocked for the IP addresses that Mail Import connects from. Contact us for an updated overview of which IP addresses are relevant.
- It may also happen that it goes away within a few minutes - check if the same message appears in other companies you have configured Mail Import setup for.
Once you have selected which three folders Mail Import will use, there is an option just below that called "Import directly to worklist". If this is selected, Mail Import will add the imported invoices directly to the worklist instead of to "Document Import".
Press "Save Setup"
The setup is now complete and this "Private Mode" window can now be closed.
The inbox user can now be logged out of the "Application Developer" and "Application Administrator" roles - these roles are no longer needed.
Finally, we usually send an email with a test PDF to the inbox to confirm that Mail imports both moves the email to the selected folder and imports the invoice so that we can find it again in the Worklist or Document Import.
