Normally, all users have the ability to view all dimension values ​​within the Acubiz solution they have access to. However, with Dimension Access Control, Pro users can define and restrict access so that selected users can only access selected dimension values ​​and others cannot access the same ones. This ensures that data is only available to relevant employees, while maintaining stringent control of access rights.

• How Dimension Access Control should be implemented and used depends on the company's specific needs. 

The example below describes one method in relation to projects.

• The company has 5 projects, where 2 employees have individual projects that only they can post to, but also have some common projects that both users must be able to post to
  

The access should be as follows:

• Restricted to Anita Letterback

Create restricted access

In addition to manual handling, Dimension Access Control can be automated via an automated integration. Read more about Dimension: Fields, columns and data structure

In the Administration interface in Acubiz, select the dimension level you want to make changes to and then click on the dimension value (Project) that should have limited user access:

Tap "Select" in the "Restrict access to" section

Select the user(s) who should have exclusive access to the value/project

Finish by pressing "Save".

This setup means that only Anita Letterback (in addition to Pro users) can see the specific project when settling costs in the Acubiz app.

You remove access to the user by pressing "Remove"

Finish by pressing Save.

When there is no restricted access, all users in the company can see the project.

⚠️Important exceptions

A Pro user with the Administrator and/or Finance role has access to view all dimension values ​​regardless of setting up limited access for selected users.

Secretary function:
The secretary function is disabled in the web version, as a secretary does not have access to the dimensions of the person they are working on behalf of. The secretary function only works via the Acubiz app..

Multi-company settlement:

• An administrator can set up a default dimension on a user's profile in the administration module, which the user potentially does not have access to (since the administrator has access to all dimensions, regardless of restrictions set in Dimension Access Control).
• Upon financial approval, the financial user can view and change all dimensions on transactions (regardless of the Dimension Access Control setting).
• Upon. Resignation/deactivation of an employee in Acubiz, the employee is not removed from the dimensions-reader list. Not a practical problem and planned fix coming.
• Dimension Access Control is made on all dimension levels, also "Airports" and "Pool Cars", but Dimension Access Control is not handled on Airports and Pool Cars in the Acubiz app.
