The Out of Office feature allows approvers to delegate their approval duties to an alternate designated approver within Acubiz for a defined duration. This functionality is applicable in situations such as:
- Business travel
- Vacation
- Sick leave
- Other types of absence
| ℹ️ The purpose of Acubiz's Out of Office function is to delegate approval responsibilities to another individual who will possess the same privileges as the delegator. Therefore, it is imperative that the appointed deputy holds a position at the same hierarchical level or higher. Delegation to individuals of a lower hierarchical level is discouraged, as it may result in circumstances where the deputy is required to approve their own transactions. |
When enabling the Out of Office feature, it is required to specify both a start and an end date for the delegation of approval responsibilities.
Both the start and end dates are included within the designated period.
- After establishing the period, it is necessary to select an approver who will assume the corresponding responsibilities and privileges during this timeframe.
- Once both the period and the approver have been defined, please click "Activate" to enable the Out of Office function.
- If the Out of Office period concludes on April 23, 2015, the feature will be automatically disabled on April 24, 2015, at 12:01 AM, unless manually deactivated prior to that time.
Delegation of Approver Privileges
Upon activation of the Out of Office feature, the appointed substitute approver is granted the same privileges as the primary approver. For example,

The amendment of the prokura for the delegate applies exclusively to those employees for whom the delegate has assumed responsibility and authority during the specified period. The personnel for whom the delegate customarily approves the standard level of procuration remain unchanged.
