To achieve a complete and detailed overview of all employees' transactions in Acubiz, you can advantageously use the view "All by Employee".
This feature gathers all registered transactions and expenses associated with individual users. To make administration and follow-up as efficient as possible, you have the option to filter the view by Status and Type.
Filtering Options
By combining the two filter categories, you can refine your search and quickly find the data you need.
1. Filter by Status
This filter shows how far each expense is in the approval and posting process:
- In Progress: Expenses that the employee is currently working on or that are awaiting action from the employee.
- Ready: Transactions that the employee has completed processing and are now awaiting approval.
- Approved: Expenses that have been finally approved by the designated approver.
- Exported: Transactions that have been finalized and transferred to the company’s financial system.
- Unassigned: Transactions (e.g., received credit card transactions) that have not yet been assigned to a specific user.
2. Filter by Type
This filter allows you to limit the search to specific expense categories (available options depend on your company’s specific setup in Acubiz):
- E-transactions (e.g., automatic transactions from company credit cards)
- Travel Expenses
- Cash Advances
- Mileage
- Per Diems
- Prepayments
- Requisitions
Example of Practical Use
The combination of filters is a powerful tool for proactive follow-up – for example, in connection with month-end closing.
- Selected Status: In Progress
- Selected Type: E-transactions
- Result: The view will now exclusively show employees who have outstanding credit card transactions that have not yet been marked as ready and sent for approval.
