Acubiz supports the use of authorized amounts in connection with the digital approval flow. This ensures efficient and controlled approval of transactions for both employees and managers.
Approval Maximum in Acubiz
In the system, a specific maximum amount can be defined for each approver. If a transaction exceeds this amount, it is automatically forwarded up the hierarchy to an approver with the necessary authorization.
Standard amount: 999,999.00 (in the system’s primary currency).
Overview of Approval Flows
Acubiz offers five different models for approval flows, which can be customized to the company’s needs:
1. Linear Approval (Standard)
- Flow: The transaction is sent to the approver assigned to the user profile.
- If authorization is exceeded: The system searches upward in the hierarchy for an approver with sufficient authorization. Immediate managers are automatically skipped if their authorized amount is insufficient, so the transaction goes directly to the correct authorized approver.
2. Linear Approval with Fixed Final Approver
- Flow: The transaction follows the same principle as Linear Approval (including escalation if authorization is exceeded).
- Fixed conclusion: After the primary approval, the transaction is always sent to a designated “final approver,” who is defined on the user profile.
3. Linear Approval with Stepwise Approval
Flow: The transaction is sent to the approver assigned to the user.
If authorization is exceeded: The system searches upward in the hierarchy. Unlike the standard flow, all levels in the hierarchy must approve the transaction stepwise until it is finally approved by the last manager with the appropriate authorization.
4. Dimension Approval
Flow: The transaction is sent for approval to the person associated with the specific dimension (e.g., department, cost center, or project) instead of the employee’s direct manager.
If authorization is exceeded: If the amount exceeds the dimension owner’s authorization, the system searches upward in the hierarchy for an approver with sufficient authorized amount (intermediate managers without authorization are skipped).
5. Dimension Approval with Fixed Final Approver
Flow: The transaction follows the principles of Dimension Approval.
Fixed conclusion: Once the dimension owner (and any authorized approvers) have approved, the transaction is sent to a designated “final approver,” who is specified on the user profile.
Employee Authorization (De minimis threshold)
To ease the approval workload for employees’ direct managers, a de minimis limit can be set for when a transaction must be approved in Acubiz.
- Standard setup (0.00): All transactions regardless of amount are sent for approval to the nearest manager.
- Example with amount limit (e.g., DKK 250.00):
- Under 250.00: The transaction is excluded from the normal approval flow and sent directly for financial approval/accounting.
- Over 250.00: The transaction follows the set standard flow to the nearest manager.
