Handling Account-Related Transactions (Without User Match)
In the Finance ➔ Unassigned section, credit card transactions that the system could not automatically match to an employee profile are displayed. While most transactions can be managed by creating a permanent user association, there will be cases where this is not appropriate.
This is especially true for overarching account transactions, including interest, card fees, or administrative costs, which refer to the account agreement itself and not to a specific cardholder.
ℹ️ Important regarding setup: Interest and fee transactions should not be assigned an automatic user association, as these costs are recurring and do not belong to a single employee's personal expenses.
To have these financial entries recorded and settled correctly in the system, they must instead be manually transferred to a designated employee (e.g., an employee in the finance department) who handles the subsequent case processing.
Procedure:
Go to FINANCE
Then go to UNASSIGNED
Move Transactions to an Employee
Transactions not linked to an employee can often be recognized as follows:
- Match key is not unique
In this example, the association key is 00000000, and a permanent match should not be created on this - No match key provided
In this case, automatic association cannot be created
Follow these steps:
- Go to UNASSIGNED
- Expand the credit card provider by clicking the plus sign
- Expand the transactions by clicking the plus sign
- Check the box next to the desired transaction
- Click the Move Selected E-Transactions to User button
- Select the employee who should receive the selected transactions
- Click the Change Employee button
The transactions are now transferred to the selected employee. Remember to repeat this procedure when similar transactions occur again.
