Setup of e-conomic Integration for Acubiz

To connect e-conomic and Acubiz, a token must be generated. A token acts as a security key that grants Acubiz permission to exchange data with your e-conomic agreement.

Note:

• Additional purchase: The integration requires an active configuration from Acubiz's side.
• System change: Are you switching to e-conomic from another accounting system? Contact Acubiz for advice before starting the setup.

Overview of the Process

The setup consists of three simple steps:

1. Generate and copy your token from e-conomic
2. Create a dedicated cash journal in e-conomic
3. Enter token and setup data in Acubiz

Step-by-Step Guide

Step 1: Generate Access Token in e-conomic

1. Log in to the e-conomic agreement that Acubiz will connect to.
2. Click the following link to generate a token: Use this link.
3. In the screen that appears (issued by Visma), click Add app.
   
4. You will now be redirected to Acubiz’s website. Check the address bar (URL) in your browser:
   • Example: https://acubiz.com/?token=123456789xyz
5. Copy the text after = (this is your TOKEN-ID) and save it for Step 3.

Step 2: Create Cash Journal in e-conomic

1. Go to e-conomic and create a new cash journal that will be used exclusively for Acubiz postings.
2. Name the cash journal - for example ACUBIZ.
3. Save the name; you will need the exact name in the next step.

Step 3: Configure Acubiz

1. Log in to Acubiz and navigate to:
   Admin ➔ Company Settings ➔ Export Profiles.
   
2. Select the relevant export profile from the list (e.g., "2. Costs").
   
3. Click Edit next to the profile name.
4. Fill in the fields as instructed below:

How the transfer works: When the export type is set to Scheduled, Acubiz automatically transfers approved data to e-conomic every day at 4:00 PM (CET).
