This documentation describes the guidelines for automatic and manual retrieval of data from Acubiz via the SFTP server as well as the associated folder structure.
1. Data Export from Acubiz
Acubiz automatically generates export files every day at 4:00 PM CET.
Unique file names: Each file is assigned a unique file name upon generation.
Data accumulation: If files are not retrieved daily, they will remain in their respective folders. Therefore, the system must be able to handle retrieving and processing multiple files at once.
Note: Which files are actually exported depends on the specific configuration of your Acubiz solution.
2. Export Folder Structure
The path to each export type is built around the company-specific database name in Acubiz, here referred to as [EMSNAME].
| Export Type | Folder Name / Path | Remarks |
| Provisions | [EMSNAME]\FromAcubiz\EtransPrereg\ |
E-transactions |
| Settled Expenses | [EMSNAME]\FromAcubiz\Costs\ |
Travel expense reports, reimbursements, etc. |
| Monthly Invoice | [EMSNAME]\FromAcubiz\EtransInvoices\ |
E-transactions |
| Payroll File | [EMSNAME]\FromAcubiz\Salary\ |
*Usually exported manually |
| Images / Receipts | [EMSNAME]\FromAcubiz\Files\ |
JPG/PDF for ERP or local archive |
* The payroll file is by default not generated automatically but exported manually as needed.
3. Important Technical Prerequisites
When setting up the integration or the integration’s integration (e.g., via an ETL tool or ERP system), the following two conditions must be observed:
Case Sensitivity: The SFTP server’s folder structure is case sensitive. It is crucial that both the solution name
[EMSNAME]and all folder names are specified exactly as shown above.Working folders and temporary files: The folders act as active working areas for the system. There may be subfolders (e.g.,
.temp) with temporary files during export. The integration must only retrieve files directly from the specified root folder and must ignore any subfolders.
