When handling advances in Acubiz, it involves the following:
- Cash Advance
You receive €500.00 in cash from the company's finance department. - Returned Cash Advance
After your trip, you have €200.00 of unused cash that you'd like to return to the company's finance department.
Here's an example to illustrate:
Before Traveling
For your business trip, you request a cash advance of €500.00 and receive this amount in cash. The company's finance department records a transaction for you in Acubiz, which will appear in your unprocessed section (as shown below).

This advance will be waiting for you to settle once you return from your trip.
Basically, this is an advance on your salary, but it won’t be deducted until you settle your expenses (as explained below).
While Traveling
During your trip, you use the cash provided by the company for expenses:
- €225.00 on taxi
- €70.00 on food
- €5.00 on coffee
Note: These cash expenses are recorded using the Acubiz app.
In total, you’ve spent €300.00 of the €500.00 you received, leaving €200.00 to return.
Returning from Your Trip
You visit the Finance Department and return the €200.00 you didn’t use. The Finance Department records this transaction in Acubiz, which will appear in your unprocessed section as shown below:

Settlement
Now, it’s time to settle your expenses. Your unprocessed section (or the Acubiz app) will show the relevant transactions for you to complete the settlement.
