When CPM (Company Policy Manager) is enabled, a large part of the company's receipt workflow is automated. To provide the Finance Department with full transparency and documentation of this process, Acubiz automatically generates a monthly Finance Approval Report.
The report offers detailed insight into the last 30 days of transactions and shows exactly which receipts have been automatically approved by CPM and which have been selected for manual review. This is where the company can clearly see the saved workload (ROI) in Finance.
ℹ️ Note: The Finance Approval Report is an integral part of the CPM add-on module. If the module is not activated, the reporting option will not be available.
Activation and Setup
The report is configured under Local Settings, where the feature can be enabled or disabled.
The system automatically generates the report on the first day of each month with data from the previous month. To ensure quick follow-up, a valid email address can be entered in the Send report to field, after which the responsible party receives a direct notification when the report is created.
How to Access and Use the Report
Historical reports are stored in the system and can be found at any time via the following path: Finance ➔ Reconciliation ➔ Company Policy Manager reports
The overview presents reports from recent months. Each report contains a complete tally of the transactions that either required manual review or were automatically processed for export via CPM auto-approval.
Measuring Efficiency (Example)
The report directly highlights the efficiency gains. The table below shows an example from a company that has set specific amount limits on expense types, selected employees under 100% control, and a general sample rate of 1%:

Date Fields and Key Figures in the Report (Data Basis)
When a specific report is opened, the data is divided into the following elements, explaining why receipts have been selected for review:
- Report Date: The date the CPM report was generated and compiled for the previous month.
- Total Number: The total number of transactions processed through Acubiz in the given month.
- Documents Selected: The total number of transactions filtered out for manual review in Finance based on your overall rule set.
- Sample (Employee): The number of transactions selected due to targeted control on specific employee profiles. (These are included in "Documents Selected").
- Sample (Company): The number of transactions selected based on the general sample percentage (e.g., 1%). (These are included in "Documents Selected").
- Amount Exceeded: Indicates how many of the selected transactions were retained because they exceeded a defined amount limit on an expense account (e.g., 124 out of 165 receipts).
- Country: Indicates how many of the selected transactions were retained because they were made in a specific, controlled country (e.g., 14 out of 165 receipts).
- Customized Check: ⚠️ Legacy field. No longer used and will always have a value of zero (0).
Report Workflow Status
To ensure a structured internal workflow in Finance, each report can be assigned a status:
New: The report has been generated but not yet reviewed (default status).
In Progress: The report and associated discrepancies are under review.
Processed: The month's review and reconciliation have been completed and approved by Finance.

By clicking on the report, a file can be downloaded that provides additional details.
