ℹ️ When setting up technical integrations, the company’s IT department or external IT partner is often involved. Depending on the accounting system and chosen methods, setup, testing, and implementation will incur costs for consulting services. Acubiz offers guidance throughout the entire process, while the technical configuration in the company’s own systems is handled by you or your IT partner.

1. Data Integration to the Accounting System
Acubiz exchanges posting data via file-based formats, which are imported into the company’s accounting system. The transfer can be automatic or through manual procedures. We are happy to advise on the most appropriate setup for your workflow.

Microsoft AX / Dynamics 365FO: In collaboration with our partner, Essence Solutions, an integration module is offered. The module is configured in AX/D365FO and ensures automatic exchange of both posting data and documents. Integration with Microsoft Dynamics D365FO
- Other accounting systems: Although standard modules do not exist for all systems, Acubiz can be integrated with most platforms. The solution is customized in collaboration with your IT resources.
2. XML File with Base64-Encoded Receipts
The standard export from Acubiz is delivered as a CSV file with all relevant posting data. If you wish to transfer the actual receipt image directly in the same export, we recommend switching to an XML-based format.
Format change: Switching to XML format requires an adjustment of your existing export setup. Contact us for a quote.

Handling: XML files can be downloaded manually or transferred automatically. Note that XML files with Base64-encoded documents are significantly larger than traditional CSV files.
Tip: Combine the XML format with an SFTP integration to eliminate manual workflows and increase data security.
3. File-Based Integration via SFTP (Secure File Transfer Protocol)
With an SFTP solution, Acubiz automatically creates export files and places them on a secure SFTP server. From there, the company’s IT systems can automatically retrieve and process the data without manual involvement.

4. Retrieve Digital Receipts to a Local Archive
If you wish to build a local digital archive, this function can be combined with the SFTP integration. This way, receipt files are retrieved directly from Acubiz’s SFTP server and automatically linked with data in your own IT systems.
5. View Receipts in Acubiz Directly from the Accounting System
This function allows users to perform direct lookups of documents in Acubiz from an external system (e.g., directly from the accounting system). The function can be used independently of whether you use automatic SFTP integration or manual file export.
